Become an Exhibitor

Are you a vegan businesses, organization, prepared-food vendor, packaged food vendor, or cruelty-free product provider? If so, we invite you to take part in Valley Vegfest, a celebration of compassionate living.

Exhibitor rates for a basic space for businesses are $100-$175, and $60-$100 for non-profit organizations. Full details are available in the application form.  To become a Valley Vegfest exhibitor, please follow these steps:

1. Download the Sponsor/Exhibitor application.  This is a PDF form that can be filled-out and saved when downloaded to your computer and opened in Adobe Reader. Editing may not be available if the file is viewed in your web browser.

2. Read through the exhibitor information and rules to make sure that you can fully comply with our expectations.  All products must be 100% vegan, so please e-mail us in advance if you have any uncertainties regarding this, or have any other questions.

3. Fill out, print, and include a signed copy of the agreement with your check or payment made out Valley Veg, Inc. to our new address:

Please observe fee schedules and deadlines when submitting your application!  Register by January 31 to take advantage of our early-bird rates. If you have any questions along the way please contact us!  We will be in touch as soon as we receive your information and will keep you informed about the status of your application.

Exhibitor registration is not confirmed until approved by the Valley Vegfest Registration Committee. Due to limited space, we reserve the right to allocate space as needed among the various categories of exhibitors.

The basic exhibit space is an 8 foot table with two chairs.  If you have a booth or some other special set-up, please contact us with your space requirements before submitting an application.  An additional table or equivalent floor space is available for an added fee.

Power is available for a limited number of exhibitors, so make sure to request it if needed.  Heating of food may be done using crock pots, hot plates, or small convection ovens.  No propane or other gas stoves, or microwave ovens are allowed.

All exhibitors serving prepared food, selling packaged food, or offering food samples must have a Northampton Temporary Event Food Service Permit when checking in the day of the event. An inspection must take place prior to the event opening to the pubic, so please make sure to be all set-up and ready before 10:00.

Prepared food vendors should keep in mind that attendees will be interested in trying a variety off food that day, so offering food in smaller, moderately-priced portions is likely to result in more sales.  Another option would be to offer a large or small of an item where practical.
