Details and Rules

    • Valley Vegfest is a non-profit community event. A portion of the fees and contributions remaining after expenses will be donated to area farm animal sanctuaries.
    • Exhibitor registration is not confirmed until approved by the Valley Vegfest Registration Committee.  Space is limited and we reserve the right to allocate space as needed among the various categories of exhibitors.
    • Exhibit space in non-transferable.  Exhibitors must not exhibit or permit to be exhibited any product or service other than that specified in their application.  Exhibitors wanting to share space must submit an application form for each organization and add a $15 fee with their payment.
    • Fees for cancellations more than 14 days before the event will be refunded, minus a $15 handling charge.
    • Doors open for exhibitor’s set-up at 8:00.  Exhibitors must load in through the side utility entrance and be in place by 10:00.  No carts, hand trucks, large displays, or equipment will be permitted to be brought in once the event is open to the public at 10:00.  All exhibitors are responsible for cleaning up after themselves.
    • All products must be 100% vegan, including as specified below:
      Food: No meat, poultry, fish, seafood, milk, eggs, honey, gelatin, rennet, lard, whey, casein, etc.
      Clothing and Jewelry: No leather, fur, skins, wool, silk, feathers, bone, ivory, seashells, etc.
      Cosmetics and personal care Products: No animal by-products, and must not have been tested on animals
      Garden Products: No worms, manure, shellfish, blood meal, bone meal, etc.
    • Printed materials, including brochures, posters, etc. must not have any images depicting slaughtered, injured, or tortured animals in open view or in any material that could be accessible to children.  Publications must not promote any foods that are non-vegan.
    • Exhibitors and vendors may not use any sound amplification or loudspeakers in the exhibition hall.
    • Exhibitors must restrict their activities to their exhibit space. Soliciting or distribution of handouts in the aisles, hallways, around entrances, or in any location outside of their designated space is prohibited.
    • All exhibitors serving prepared food, packaged food,or any food samples must have a Northampton Temporary Food Event Permit when checking in the day of the Vegfest. Details and application forms are online at http://www.northamptonma.gov/704/Food-Permits-Fees
    • The kitchen will NOT be available for use; however a small sink will be available for obtaining water or rinsing utensils. Heating of food may be done using crock pots, hot plates, or small convection ovens.  No propane or other gas stoves, or microwave ovens are allowed.
    • Food exhibitors need to provide their own sanitary serving gloves, napkins, plates, serving utensils, sampling cups, sampling toothpicks, etc., if needed.
    • Use of environmentally friendly disposables (preferably compostable or recyclable) is strongly encouraged. Use of Styrofoam cups and plates is prohibited. We will provide recycling receptacles and attempt to recycle as much waste as  possible.
    • Should any weather or other emergency interrupt or force the cancellation of Valley Vegfest, the organizers shall be in no way liable to exhibitors. Registration fees may not  be refunded since expenses are incurred before the event for the site, equipment rentals, insurance, publicity, etc.
    • Exhibitors agree to make no claim for any reason against Valley Vegfest organizers for any loss, damage, or harm to themselves, their employees or volunteers, incurred at the event. Exhibitors agree to indemnify and hold harmless Valley Vegfest organizers against any liability arising out of the exhibitor’s participation in Valley Vegfest.
    • By participating in Valley Vegfest, you agree to abide by these terms and conditions.  Failure to comply with Valley Vegfest exhibitor rules will revoke all rights of the exhibitor without refund of registration or other fees.
